Enter each contractor with a name and an email, and pick which requirement set applies to them. A requirement set is the insurance you expect for that kind of work: general liability minimums, auto liability, workers' comp, whether you must be named as additional insured. Most firms need two or three sets.

The moment a vendor is added, they receive an email under your company name with their own secure link. They open it on any device, attach their COI, and the details fill in from the document for them to confirm. There is no account to create and no password to forget.

Every coverage is compared to the minimums in that vendor's requirement set. If a limit is short, a coverage is missing, or the policy is about to expire, the vendor is marked accordingly and you can see the exact reason. Nothing is hidden behind a score.

Notices go out 30, 14, 7, and 1 day before a policy expires, then weekly while a certificate is missing or expired. Every send is logged. When the renewed certificate arrives and passes, the reminders stop and the vendor goes back to compliant.
